Privacy Policy

How Zen ELD collects, uses, discloses, retains, and protects information across our driver apps, Fleet Portal, connected ELD services, website, and support services.

Zen ELD LLC ("Zen ELD," "we," "us," or "our") respects your privacy. This Privacy Policy explains how information is collected, used, disclosed, retained, and protected when you use the Zen ELD Driver mobile or tablet applications, Fleet Management Portal, connected ELD services, zeneld.com, customer support, demo-request services, and related features (collectively, the "Services").

1. Scope and Relationship With Your Carrier

Zen ELD provides fleet-managed applications and services for commercial drivers and authorized fleet personnel. Driver accounts are normally created and managed by a motor carrier, fleet, or other business customer (the "Carrier").

For driver, vehicle, ELD, hours-of-service, and other operational records that we process on a Carrier's behalf, the Carrier generally determines the purposes and means of processing. Depending on applicable law, the Carrier acts as the business or controller and Zen ELD acts as its service provider or processor, processing those records under the Carrier's instructions and as needed to provide, secure, support, and comply with legal requirements applicable to the Services. The Carrier may have its own privacy notices, policies, and legal obligations. Questions or requests concerning Carrier-controlled records should normally be directed first to your fleet manager or Carrier.

For information that Zen ELD determines how and why to process for its own business purposes—such as website and demo inquiries, support communications, account and service administration, security records, legal compliance, and internal business operations—Zen ELD acts as the business or controller, as those terms apply, and is responsible for the processing described in this Privacy Policy.

2. Information We Collect

Depending on the features enabled by your Carrier and how you use the Services, we may collect the following information.

A. Account and Driver Profile Information

  • Username, email address, user ID, and authentication information;
  • Driver name, driver identifier, Carrier or fleet affiliation, co-driver information, and assigned terminal information;
  • Driver qualification or compliance information supplied by the Carrier, which may include driver's-license number and issuing state when needed to identify the driver, associate ELD records with the correct account, or create a required ELD output file;
  • Account status, roles, permissions, and application preferences.

B. Hours-of-Service and ELD Records

  • Duty status, including Driving, On Duty, Off Duty, Sleeper Berth, Personal Conveyance, and Yard Move, as applicable;
  • Hours-of-service counters, records of duty status, event history, edits, annotations, certifications, and unidentified-driving records;
  • ELD power, synchronization, timing, positioning, data-recording, data-transfer, diagnostic, and malfunction events;
  • Roadside-inspection and ELD output-file transfer records.

C. Vehicle and Telematics Information

  • Vehicle ID, unit number, VIN, ELD identifier, ELD serial or device information, and assigned vehicle information;
  • Vehicle motion, speed, odometer or distance, engine hours, engine power status, ignition status, and timestamps;
  • Bluetooth and ELD connection status;
  • Trip and operational information generated by the vehicle or ELD device.

D. Location Information

  • Precise or approximate GPS location, location descriptions, direction, and timestamps;
  • Location information generated while the app is in use and, when enabled and permitted by your device settings, while the app operates in the background for core ELD, automatic-driving, logging, tracking, and synchronization functions.
  • When Zen ELD is used in an applicable registered configuration and an authorized driver uses Personal Conveyance, regulated ELD records are designed to use the reduced location precision required by applicable ELD technical specifications. Separate fleet-tracking features, if enabled by the Carrier, may process more precise location information for operational purposes.

E. Load, Log, and User-Provided Content

  • Trailer number, shipping-document number, load status, Bobtail status, and related notes;
  • DVIR information and other driver-submitted records;
  • Comments, annotations, certifications, and information entered into forms in the app.

Please avoid entering unnecessary personal or confidential information into free-text fields.

F. Device, Network, and Technical Information

  • IP address, device type, device model, operating-system version, app version, language, time zone, and unique app or device identifiers;
  • Network and connectivity information;
  • App interactions, synchronization status, timestamps, error logs, security logs, crash information, and performance data, where enabled;
  • Information needed to maintain, troubleshoot, secure, and improve the Services.

G. Website, Demo Requests, Support, and Communications

When you visit zeneld.com, request a demo, or contact us, we may collect your name, work email address, phone number, company, fleet size, current ELD provider, stated fleet-management priorities, Carrier, device or account information, and the content of your request, including attachments or technical information you provide. The website or its hosting providers may also process standard connection and server-log information, such as IP address, browser or device type, requested page, referring page, and request timestamp, to deliver, secure, troubleshoot, and measure the website.

3. How We Collect Information

We collect information:

  • Directly from you when you sign in, change duty status, enter load information, certify logs, submit notes, transfer records, or contact support;
  • From your Carrier, fleet manager, administrator, or authorized personnel;
  • Automatically from the app, your mobile device, the connected ELD, and the vehicle's electronic systems;
  • From zeneld.com, demo and support inquiries, integrations, hosting providers, and other service providers used to operate the Services;
  • When you authorize permissions such as Location, Bluetooth, or Notifications.

4. How We Use Information

We use information to:

  • Authenticate users and manage accounts, roles, permissions, and assigned vehicles;
  • Connect the app to an ELD and receive vehicle and telematics information;
  • Create, display, calculate, maintain, synchronize, edit, certify, and transfer ELD and hours-of-service records;
  • Determine or support automatic driving and duty-status events;
  • Provide live or historical vehicle and driver information to authorized Carrier personnel;
  • Support roadside inspection, DVIR, co-driver, load-information, and ELD output-file functions;
  • Store queued records locally when a network connection is unavailable and synchronize them when connectivity returns;
  • Provide customer support, troubleshoot issues, and communicate service-related information;
  • Detect, investigate, and prevent fraud, misuse, unauthorized access, and security incidents;
  • Maintain system reliability, analyze performance, and improve the Services;
  • Comply with contracts, legal obligations, regulatory requirements, lawful requests, and applicable transportation and recordkeeping rules;
  • Protect the rights, safety, and property of drivers, Carriers, Zen ELD, and others.

5. Mobile Permissions

The app may request permissions that are necessary for enabled features, including:

  • Location: to create location-based ELD records, support automatic driving events, tracking, and roadside-compliance functions;
  • Bluetooth: to discover, connect to, and communicate with the ELD device;
  • Notifications: to provide operational, compliance, synchronization, or account-related notices.

You can manage permissions in your device settings. Disabling a permission required for a core feature may prevent that feature or the app from operating correctly.

6. How We Disclose Information

We may disclose information to the following recipients.

A. Your Carrier and Authorized Users

We disclose driver, vehicle, location, HOS, ELD, load, and operational records to the Carrier that manages your account and to its authorized administrators, safety personnel, dispatchers, support personnel, and other authorized users.

B. Government Agencies and Authorized Safety Officials

When initiated by an authorized user, requested during a roadside inspection, or otherwise required by law, ELD records may be displayed to an authorized safety official or submitted to the Federal Motor Carrier Safety Administration (FMCSA) ELD system using the transfer methods registered for the applicable ELD model and software version. Authorized safety officials may then retrieve the submitted file through the FMCSA system. Available transfer methods depend on the applicable product registration and configuration.

C. Service Providers

We may use service providers for cloud hosting, data storage, security, communications, customer support, mapping or location services, error monitoring, analytics, and other technical operations. These providers may process information only for permitted purposes and are required to protect it under contractual or legal obligations.

D. Legal, Safety, and Compliance Reasons

We may disclose information when we reasonably believe it is necessary to comply with law, regulation, legal process, or a lawful government request; enforce agreements; investigate security issues or suspected violations; or protect rights, safety, and property.

E. Business Transfers

Information may be transferred as part of a merger, financing, acquisition, reorganization, sale of assets, bankruptcy, or similar business transaction, subject to appropriate confidentiality and data-protection measures.

F. With Your Direction or Consent

We may disclose information when you, your Carrier, or another authorized party directs us to do so or provides consent.

7. ELD Output-File Transfers

When you or an authorized Carrier user initiates an ELD output-file transfer, the file may contain information required for the transfer, including driver and Carrier identifiers, vehicle information, duty-status events, locations, timestamps, annotations, certifications, diagnostic or malfunction events, and related records. Where the applicable ELD model and software version are registered, the file is submitted to FMCSA's ELD system using the transfer method or methods registered for that product. An authorized safety official retrieves the submitted file through the FMCSA system; the transfer is not an ordinary consumer email sent directly to the official. Available methods may vary by registered product and configuration.

Information received by a government agency or other recipient is subject to that recipient's legal authority and privacy practices.

8. Sale, Advertising, and Tracking

Zen ELD does not sell or rent personal information. We do not use driver or ELD information for third-party advertising, cross-context behavioral advertising, or tracking users across unrelated apps or websites for advertising purposes.

9. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • Maintain an active account and provide the Services;
  • Meet the Carrier's contractual, operational, audit, and recordkeeping needs;
  • Comply with applicable ELD, transportation, employment, tax, legal, and regulatory requirements;
  • Maintain required original records, edits, annotations, backups, and audit trails;
  • Resolve disputes, investigate incidents, and enforce agreements.

ELD and hours-of-service records may need to be retained even after an account is disabled or a deletion request is submitted when the Carrier or Zen ELD is legally or contractually required to preserve them.

Under applicable FMCSA recordkeeping rules, motor carriers generally must retain records of duty status and related supporting documents for at least six months and maintain a backup copy of ELD records on a separate device or system for six months. The Carrier is responsible for establishing and following retention practices that satisfy its legal obligations; the Services may assist the Carrier with those practices.

Records temporarily stored on a mobile or tablet device for offline operation are retained until they are synchronized or otherwise handled according to app logic, device controls, and applicable legal requirements. Uninstalling an app may remove its local copy and stop future collection from that device, but it does not delete information already transmitted to Zen ELD, retained by the Carrier, submitted to a government system, backed up elsewhere, or required to be preserved. Drivers and Carriers should confirm that required offline records have synchronized before removing an app or replacing a device.

When information is no longer required, we take reasonable steps to delete it, de-identify it, or securely isolate it until deletion is possible.

10. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure. These measures may include access controls, authentication, encryption in transit where appropriate, monitoring, backups, and personnel or vendor confidentiality obligations.

No system can guarantee absolute security. You are responsible for keeping login credentials confidential, using a secure device, and promptly reporting suspected unauthorized access.

11. Your Choices and Privacy Rights

Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or a copy of certain personal information; object to or restrict certain processing; withdraw consent where processing is based on consent; or appeal a denied privacy request.

Because your Carrier normally creates and manages your account and operational records, please first contact your fleet manager for requests concerning driver, vehicle, HOS, or ELD records. You may also contact Zen ELD using the information below. We may need to verify your identity and coordinate the request with the Carrier.

You can also:

  • Update certain information through your Carrier or authorized administrator;
  • Manage Location, Bluetooth, and Notification permissions through device settings;
  • Request account deactivation or deletion through your Carrier or by contacting Zen ELD;
  • Uninstall the app to stop future collection from that device; uninstalling does not delete information already transmitted, submitted, backed up, controlled by the Carrier, or legally retained.

We will not discriminate against you for exercising applicable privacy rights.

12. Account Deletion Requests

Zen ELD Driver mobile and tablet applications do not provide public self-registration. Driver accounts are created and managed by the Carrier.

To request account deletion or deactivation:

  1. Contact your fleet manager or Carrier administrator; or
  2. Email contact@zeneld.com with the subject line Privacy Request — Account Deletion.

Include your name, account email or username, and Carrier name. Do not send your password. We may verify your identity and authority before processing the request.

Deletion of an account does not necessarily require immediate deletion of records that must be retained for legal, regulatory, safety, audit, dispute-resolution, or contractual reasons. Where deletion is not permitted, access will be restricted and the information will be retained only for the required purpose and period.

13. International Users and Legal Bases

The Services are operated from the United States. If you use the Services from another country, information may be processed in the United States or other locations where Zen ELD, the Carrier, or service providers operate.

Where applicable data-protection law requires a legal basis, we process information based on one or more of the following: performance of a contract, compliance with legal obligations, legitimate interests in providing and securing the Services, protection of vital interests, or consent where required.

14. Children's Privacy

The Services are intended for authorized commercial drivers and fleet personnel and are not directed to children under 18. We do not knowingly collect personal information directly from children through the Services. If you believe a child has provided information to us, contact us so we can review the matter.

15. Third-Party Services and Links

The app may contain links to or interact with third-party services, government systems, or Carrier systems. Their privacy practices are governed by their own terms and policies. Zen ELD is not responsible for third-party privacy practices that are outside our control.

16. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to the Services, legal requirements, or data practices. We will post the updated version with a revised "Last Updated" date. Where required, we will provide additional notice through the app, website, email, or Carrier.
